Your Role at Cabot:Cabot Corporation is seeking as Executive
Assistant to join the Human Resources organization at the Boston,
MA headquarters location. This role provides primary administrative
support to the Chief Human Resources Officer and up to 2 additional
company leaders as may be assigned. Additional, ad hoc (secondary)
support for other department leaders may be requested as capacity
allows. This is an ideal role for a highly organized and efficient
individual who enjoys project coordination support for various
programs, projects, events, and activities.This role is based at
the Billerica, MA, location, but is eligible to participate in
Cabot's Flexible Working Arrangement program.How You Will Make an
Impact:Provides administrative support to the Chief Human Resources
Officer which includes calendar management, travel arrangements,
expense management, etc. The position handles sensitive and highly
confidential information; attention to detail, discretion and good
judgment are paramount.Provides coordination support for various HR
programs, projects, events, and activities (e.g., weekly staff
meetings, annual off-site meeting, leadership development programs,
recognition programs, global engagement survey, Boston site
activities).Administrative support:Provide administrative support
to the Chief Human Resources Officer (CHRO) and 2-3 additional
company executives as capacity allows. This support would include
calendar management, travel and expenses, etc.Collect, assemble,
and summarize information from various sources, prepare reports,
graphics, and agendas. Determines methods of research and
presentation of information.Assist with material development
(develop PowerPoint slides, research topics, edit and proof
material, test solutions, etc.)Manage correspondences, review,
proofread, and edit materials.Maintain data and run reports as
needed.Follow-up on administrative details with others to ensure
requests for information are submitted on time.Modifies, develops
and documents administrative procedures to ensure on-going
efficient processes in place.General administrative support to HR
leadership team members where needed, ordering office supplies,
large group meeting arrangements, etc.Data entry and extraction
from HR systems, such as PeopleSoftProject coordination
support:Provide program support, administrative and logistical
support for global programs and events (e.g., global leadership
conference, leadership development programs, global engagement
survey, team off-sites, Boston site activities)Maintain corporate
organization charts, leadership distribution lists, organizational
announcement processOrganize materials and logistics for meetings,
workshops or training sessions (editing, copying, distributing
materials, booking training rooms, times, etc.)Set up purchasing
requisitions in ERP system (JDE) & Invoice processingMaintain HR
content on Cabot's Intranet and SharePoint sitesWhat You Will Bring
to Cabot:7+ years executive administrative experience required,
with prior experience supporting multiple leaders and/or
executivesOrganization skills. Ability to manage and track across
multiple priorities, deadlines, and stakeholdersAdvanced Microsoft
Office skills (Power Point, Excel, Word, etc)Experience with
calendar management, utilizing MS Outlook, and travel planning and
expenses, (preferably utilizing Concur)Prior experience supporting
globally employees - particularly navigating global working
schedules and time zonesPrior experience using and administering
collaboration technologies and platforms (e.g. MS Teams,
Sharepoint)Secondary education required; High School diploma/GED is
required, but post-secondary training (certificate program) or
bachelor's degree preferredAbility to work effectively with
technology (systems and software) to a "super user" level; comfort
in assisting others with troubleshooting of systems/ software (e.g.
Workday, PeopleSoft, etc)Strong knowledge of administrative, office
practices and organization methods.Excellent analytical skills with
ability to think critically to anticipate needs and resolve
issuesAbility to work effectively across all levels of stakeholders
in a global organization (seniority, time zones, cross-cultural
differences, etc.)Excellent verbal and written communication
